Personal Identifiable Information (PII):

  • Date of birth (in certain notarial transactions)

  • Government-issued photo ID

  • Signature

  • Documents provided for notarization

  • IP address and device data (for online sessions)

  • Payment information (via secure third-party processors)

RON Session Data (Texas Law Compliant):

  • Video recording of the session

  • Credential analysis results (automated ID verification)

  • Audit trail & time stamps

  • Copies of all signed documents

  • Digital notarial certificate & seal

 

3. How We Use Your Information

We use the data to:

  • Confirm and manage bookings

  • Verify your identity and perform notarial acts in compliance with Texas law

  • Process payments securely via Square

  • Maintain records for legal, regulatory, and audit purposes

  • Deliver notarized or apostilled documents

  • Contact you regarding your service

  • Improve our website experience and user interface

We do NOT sell or rent your personal data.

4. How We Store & Protect Your Information

Data Security Practices:

  • SSL encryption on all website forms

  • Session video and document data stored securely in accordance with Texas Government Code § 406.108

  • Secure access control and authentication for authorized staff only

  • Encrypted document transmission where applicable

Data Retention Periods:

  • RON session recordings and journal entries: Retained for at least 5 years, per Texas Secretary of State requirements

  • Paper notarial logs: Retained for 3 years minimum, per Texas Notary Handbook

  • Client-submitted documents: Deleted within 7–30 days post-service, unless longer retention is legally required

 

5. Your Rights & Choices

As a Texas or U.S. resident, you have the right to:

  • Request access to or a copy of your information

  • Request correction or deletion (subject to legal obligations)

  • Withdraw consent (if applicable)

  • File a complaint with the Texas Attorney General or FTC if you believe your data was mishandled

6. Payment Processing & Third Parties

Payments are handled via Square, a PCI-compliant processor.
We may also integrate with BlueNotary and Calconic (for scheduling and calculator services). These platforms have their own privacy and security policies. We recommend reviewing those policies when using third-party links.

We only share information with:

  • Texas-commissioned subcontractors bound by confidentiality

  • Title companies, law firms, or other professional partners (with your consent)

  • Government agencies when required by law or subpoena

 

7. Children’s Privacy

Our services are intended for individuals 18 years or older. We do not knowingly collect personal information from minors. If you are a parent or guardian and believe your child has submitted data, please contact us immediately.
